Disclosures and Donor Information Privacy Policy
1. General Disclosures and Compliance.
The Bedford Bulldogs Athletic Booster Club (“BBABC”) shares all required materials online to meet federal and state legal requirements. This includes filings with the U.S. Department of the Treasury (Internal Revenue Service) and the New Hampshire Secretary of State, helping us maintain transparency as a tax-exempt non-profit under Section 501(c)(3) of the Internal Revenue Code.
2. Funding Sources.
The BBABC does not seek or accept any federal or state funding, grants, or other government support. Our activities are funded entirely through private donations, fundraising efforts, and similar community contributions.
3. Handling of Fundraising, Purchase, and Donation Data.
Information related to purchases, fundraising, and donations that involve students is managed by the Bedford High School Athletic Department. The department maintains records such as spreadsheets and invoices in a secure way. This information might include details about students, coaches, or others that need careful handling to protect privacy. As a matter of policy, the BBABC does not release or disclose any such data. All inquiries regarding this information must be directed to the Bedford High School Athletic Department for assistance.
4. Student Privacy and Release of Information.
To align with the Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. § 1232g, and New Hampshire’s student data privacy laws (RSA 189:66 et seq.), the BBABC does not gather, store, or release student information on its own. As a separate entity, the BBABC maintains independence in its operations and adheres strictly to these laws by not handling or disclosing any student data, which is managed exclusively by Bedford High School. Any potential releases of student information must comply with FERPA guidelines, such as requiring parental consent or qualifying under exceptions like directory information, with redactions applied to protect identities where necessary.
5. Donor Privacy.
The BBABC values the privacy of our donors and does not collect, sell, rent, share, or otherwise disclose donor or member information to third parties, except where strictly required by law for reporting purposes (such as in confidential IRS filings on Schedule B of Form 990). We handle donor details—like names, contact information, and donation amounts—with care and confidentiality. Donors are welcome to request anonymity or choose not to be publicly acknowledged, and we will respect those wishes as much as regulations allow.
6. Review and Updates.
We review this policy each year and may update it through the BBABC Board of Directors to adapt to any changes in laws or our practices.
